Emergent Technologies, LLC — div-m.com Web Applications Privacy Policy
Emergent Technologies, LLC is the creator and owner of all web applications hosted on the div-m.com development server. This policy explains what information those applications collect about the people who use them, why, and how it's handled. It is separate from, and works alongside, the Acceptable Use & User Agreement — that document governs how you may use these systems; this one governs what we do with data about you.
Applies to: All web applications hosted on the div-m.com development server, and any successor or additional application made available under the same single sign-on.
Effective date: September 11, 2026 Owner/Administrator: Michael Mitchell, Owner and CEO, Emergent Technologies, LLC, provided to support Deaconess Health System Public Safety, hosted at div-m.com
1. Who This Covers
This policy applies to current employees, contractors, and affiliated personnel — including Deaconess Hospital Police Department staff, Warrick County Sheriff's Department training staff, and employees of Lawman Security & Consulting — who are issued login credentials to access any application on div-m.com. These are internal, credentialed systems, not public-facing consumer products, and this policy is written accordingly rather than as a general consumer privacy notice.
2. Information We Collect
Account and login information. Work email address, a securely hashed password (never stored or viewable in plain text), account status, and the timestamp and IP address of each login.
Employee roster information. Where an account is linked to an employee record: name, badge ID, rank/title, agency, division, campus, and contact information, as maintained by department administrators.
Session and security data. When you're signed in, the systems record a session identifier, your IP address, and your browser's user-agent string, so that a single login can be recognized across every connected application (single sign-on) and so suspicious activity can be investigated.
Activity logs. Security-relevant actions — logins, failed login attempts, password changes, administrative changes — are logged with a timestamp, the acting user, and IP address, for audit and security purposes.
User Agreement acceptance records. When you accept the Acceptable Use & User Agreement, we record which version you accepted, the date and time, your IP address, your browser's user-agent string, your name and email as they existed at that moment, and the session under which you accepted it.
Application-specific data. Individual applications (case management, inventory, invoice approval, training records, and similar tools) collect whatever operational data is specific to that tool's purpose. This policy covers the shared systems described above; an application with materially different data practices will say so separately.
3. Why We Collect It
Information is collected to authenticate your identity, enforce role-based access to each application, maintain single sign-on across connected apps, investigate security incidents, maintain an audit trail of administrative and account activity, and demonstrate that users have acknowledged the Acceptable Use & User Agreement. None of this information is collected for advertising, marketing, or sale to third parties, and it is not used for any purpose unrelated to operating and securing these systems.
4. Who Can See It
Access to the data described above is limited to system administrators (Control Center admins) and, where relevant, Deaconess Health System Public Safety leadership, for legitimate operational, security, or compliance purposes. It is not shared with outside organizations except: (a) as necessary to operate the underlying hosting infrastructure (see Section 5), (b) where required by law, subpoena, or valid legal process, or (c) where necessary to investigate a security incident or protect the rights, property, or safety of Deaconess Health System, Emergent Technologies LLC, or others.
5. Hosting and Infrastructure
These applications are hosted on infrastructure operated by Emergent Technologies, LLC at div-m.com, using a third-party web hosting provider. That provider has access to data at the infrastructure level (e.g., server storage, backups) as an inherent part of providing hosting services, under its own hosting agreement and security practices. Emergent Technologies, LLC does not sell, rent, or otherwise share this data with the hosting provider or any other third party for their independent use.
6. Data Retention
Session records expire automatically after a period of inactivity (currently 8 hours). Activity logs and User Agreement acceptance records are retained indefinitely as an audit trail, unless deleted in accordance with a Deaconess Health System records retention policy or applicable law. Employee roster and account information is retained for as long as the account remains active, and for a reasonable period afterward for administrative and audit purposes.
7. Security Measures
Passwords are stored using industry-standard one-way hashing and are never visible to administrators in plain text. Sessions are transmitted over HTTPS and tied to a secure, database-backed session store. Access to administrative functions is restricted by role-based permissions. No security measure is perfect, and Section 7 and 8 of the Acceptable Use & User Agreement (availability and limitation of liability) apply to these systems as well.
8. Your Information, Corrected
If you believe information tied to your account or employee record is inaccurate, or you have questions about what is stored about you, contact your system administrator or info@emergentsolutions.tech. Because these are internal operational systems tied to your employment or affiliation, some records (such as security logs and audit trails) are retained as-is for accountability purposes even upon request, consistent with Section 6.
9. Changes to This Policy
This policy may be updated to reflect new systems, legal requirements, or department policy. Material changes will be communicated to users, and continued use after such notice constitutes acknowledgment of the revised policy.
10. Relationship to the User Agreement
This Privacy Policy works alongside, and does not replace, the Acceptable Use & User Agreement, which governs authorized use, confidentiality obligations, monitoring, liability, and account termination. Where the two documents address the same topic, the more specific provision controls.
